Terms and Conditions

Please read these Terms and Conditions carefully before booking services with JXB Notary Services (“we,” “us,” or “our”). By scheduling an appointment, you agree to the terms outlined below.

1. Services Provided

JXB Notary Services offers professional notarial and support services throughout the State of Florida, and some nationwide, including:

• Remote Online Notarization (RON)

• Mobile/In-Person Electronic Notarization (IPEN)

• Loan Signing Services (via mobile and RON offerings)

• Legal Document Translation

• Federal Apostille Coordination

All services are performed in compliance with Florida Notarial Law, including Chapter 117 of the Florida Statutes and applicable administrative codes.

2. Client Responsibilities

Clients are responsible for the following:

• Ensuring all signers present valid, government-issued photo identification. Per Florida law, IDs expired within the last five (5) years may also be accepted, provided they were issued by a U.S. federal or state agency.

• Preparing all documents in full prior to the appointment—we do not notarize incomplete documents.

• For RON appointments: ensuring access to a reliable internet connection and a compatible device with functioning audio and video.

• Confirming all signing parties are of sound mind and fully understand the nature of the documents being notarized.

Failure to meet these responsibilities may result in cancellation and forfeiture of fees (see Section 5).

3. Fees and Payment

Fees are communicated clearly at the time of booking. Payment terms are as follows:

• RON & Virtual Appointments: Payment is due at the time of booking.

• Mobile Notary Services: Payment is due at the time of booking

• Loan Signings: Fees vary based on document size, travel requirements, and printing needs.

Unless otherwise stated, all fees are non-refundable (see Section 5 for exceptions).

4. Right to Refuse Service

We reserve the right to decline or discontinue service if:

• Legal or ethical standards are not met.

• Coercion, duress, or suspicious activity is suspected.

• The requested notarial act exceeds what is permitted under Florida law.
  
  

5. Cancellations, Rescheduling, and No Shows

a. Cancellations

• RON Appointments: Cancel at least 3 hours before your scheduled time for a full refund. Cancellations within 3 hours incur a 50% cancellation fee.

• Mobile/Loan Signing Appointments: Cancel at least 24 hours in advance. Cancellations within 24 hours are subject to a non-refundable travel fee or 50% of the total service fee, whichever is greater.

b. Rescheduling

• You may reschedule once at no additional charge if requested:

  • At least 3 hours in advance for RON sessions.

  • At least 12 hours in advance for Mobile or Loan Signing services.

• Late rescheduling requests may be treated as cancellations.

c. No Shows & Late Arrivals

• No-shows without prior notice will result in full forfeiture of all fees.

• Clients arriving more than 15 minutes late for in-person appointments without communication may lose their appointment and payment.
  
  

6. Identification and Verification

We follow stringent ID verification procedures:

• For RON appointments, identity is confirmed via credential analysis and knowledge-based authentication (KBA) on our secure platform.

• Failure to pass verification might result in cancellation, subject to cancellation policies.
  
  

7. Document Handling & Privacy

We take confidentiality seriously:

• All client data and documents are handled securely and with discretion.

• RON session recordings and audit trails are stored securely for a minimum of 10 years, in compliance with Florida law.

• We do not retain, reuse, or share client documents or data beyond what is necessary to complete notarial services, unless legally required.
  
  

8. Limitation of Liability

JXB Notary Services is not liable for:

• The accuracy, legality, or content of documents provided.

• Delays, errors, or rejections by third parties (e.g., lenders, title companies, government agencies).

• Client-side technical issues during RON sessions (e.g., poor internet, incompatible devices).
  
  

9. Governing Law

These Terms and Conditions are governed by the laws of the State of Florida. Any disputes shall be resolved in the courts of Florida.

10. Acknowledgement of Terms

By booking an appointment with JXB Notary Services, you confirm that you have read, understood, and agreed to these Terms and Conditions.
